As the Office Operations Clerk, you will be the central point of contact for Office Services and Mailroom Operations. You will play a critical role in ensuring seamless internal communication and delivery services while maintaining the firm’s day-to-day operational needs.
Sort, scan, email, and deliver incoming mail and faxes
Manage copying, printing, scanning, binding, and media duplication (CD/DVD)
Handle all incoming hand deliveries and overnight packages (FedEx, UPS, etc.)
Schedule messenger services and stamp outgoing mail
Maintain inventory of office supplies and prepare order lists as needed
Stock supplies in mailroom, supply closets, and kitchen areas
Set up and maintain conference rooms before and after meetings
Maintain cleanliness of mailroom, kitchen, conference rooms, and common areas
Move and transport boxes or files to designated areas as needed
Troubleshoot and resolve issues with office equipment, including photocopiers and postage machines
Ensure timely reporting and resolution of maintenance problems
Accurately scan and record document receipt and mailing dates
Follow all written and verbal instructions to complete projects in a timely manner
Proficiency in Microsoft Office (Word, Outlook, Excel) and document management systems like iManage
Familiarity with office and mailroom equipment, including Konica, Pitney Bowes, and Kofax scanning tools
Ability to understand operating instructions and follow procedures for mailing and equipment use
Strong communication and organizational skills
Dependability, attention to detail, and a proactive, service-oriented mindset
Ability to multitask and maintain productivity under pressure
Physical ability to lift up to 30 pounds as needed
A team-oriented, self-motivated approach with a flexible and professional demeanor
Technical comfort with Outlook and standard office software
